  • 1.  Tip of the Week – Operations Administrator Role

    The Operations Administrator role is a recently introduced System Group in Automate Evolve that enables designated users to manage operational activities for specific applications without requiring Global Administrator permissions. 

    What can an Operations Administrator do?

    • Reassign tasks
    • Delegate tasks
    • Perform bulk actions
    • Access process history for assigned applications 

    How to assign an Operations Administrator

    1. Navigate to Apps
    2. Click Edit
    3. Select the application
    4. In the Operation Administrator section, select the user
    5. Click Save 

    Important Notes

    • Only Global Administrators can assign this role. 
    • The role is app-specific and applies only to designated applications. 
    • Not every application requires an Operations Administrator. 
    • Operations Administrators do not have full administrative privileges. 

    Pro Tip 

    Use the Operations Administrator role to empower business process owners and support teams to manage workflow operations while maintaining centralized administrative control.

    hello Jagat,

    I was interested about this because now I have my keyusers set as App Admins and that has the benefit of them being able to see all forms (so not just "My..." and they can do things like re-assignment, force Completion, Cancel, Delete etc... The downside is they can also delete solutions or do other "devastating" things...

    So, I tried this with one of my key users.

    Assigned via Adminstration, for the App, the Operators Administrator this user.

    Opened Evolve and see nothing... "My..." is empty. Looking at Documents, no documents shown.

    Under Documents, Document Explorer does show all documents. Documents is not.

    In Operations yes, there this user can take actions like Bulk Actions and re-assignment.

    However, first of all, the view on forms in the Operations is very limited to what you get to see. 

    (Name/ProcessTime/DueDate/ProcessStatus and the action button, columns cannot be changed)

    Solutions fields, which can be used in Documents to make various selections are not in there. So they need to go to Documents Explorer.

    Not all solutions have Documents Explorer active.

    Because they don't have full access to Documents, they cannot Delete a form from the Documents library although this, after a Cancel action might also be needed.

    Hence, this does not bring full info/capability to Operators who need to handle forms in several disciplines and potential across organizations like Master Data Managers, Data Stewards, BPO's or support teams (or however you want to call them) if limited like this. 

    Happy with your tip but it is too limited.

    Thank you for taking the time to test the Operations Administrator role and for sharing such detailed feedback.
    I completely understand your observations and agree that, in its current form, the Operations Administrator role does not provide the same level of visibility and control as App Administrators. The role was introduced primarily to allow designated users to perform workflow operational activities such as task reassignment, delegation, bulk actions, and process management for specific applications without granting broader administrative permissions.

    Your feedback is valuable because it highlights the gap between operational workflow management and broader form/document administration. I'll make sure this feedback is shared with the Product team as it provides a strong real-world use case for a more granular administrative role that offers greater visibility and form management capabilities without exposing users to potentially risky application administration functions.
