I'm excited to share this quick tip on how you can create your own list of values for fields in Transaction and Direct. This will help improve data quality in SAP. We have a help page on limiting input values as well.

Fields that already have lookup values are helpful, but sometimes you want to limit the list even more, or a field might not have a list of values from SAP, and you want to create one.

For this example, let's use a field that already has a list. Planning group in the customer company data role (BP) has the following options in my SAP system:

If I want to create my own list, I can go to the Map tab and select the second icon on the field I would like to update:

Choose "In List" and select either "Static Value List" or "Dynamic Lookup List":

For a Dynamic Lookup List, you can choose to configure it based on the current data file or a separate Excel or Text file. This is helpful if you have a list of values that will change often or if you already have the list in the spreadsheet and you want to use it.

For a Static Value List, you have a few options:

1. Enter the values and descriptions manually.
2. Import from a file.
3. Import from a copy and paste.
4. Import from the SAP F4 Lookup.

If you select "From SAP F4 Lookup", you'll be presented with the list of values from SAP, so you can select the ones you need, and then click the green check. The downside to this option is that only the values will be pulled in, not the descriptions. The descriptions can be added manually which can be helpful if you want a better description than what SAP has. 

After creating my own list of values and going back to the Run tab, I now see my limited list of values when I click Lookup Values for the Planning Group field:
