    Several critical factors facilitate the rapid adoption of a new business process by business users:

    • They are comfortable with what is expected.
    • The process makes it easier and/or quicker for them to complete their tasks.
    • They feel the process adds makes sense and adds value.

     

    Using Evolve web form solutions to simplify processes for your business users can help accomplish all of the above. Key capabilities of web forms:

    Today I want to talk about building process information into your Evolve web forms.

     

    Often times, organizations have a centralized repository of standard operating procedures and/or work instructions for users to refer to. While having a centralized repository of SOPs and work instructions is essential for consistency and compliance, the user experience of accessing the right document at the right time can often be frustrating. This is a common challenge in many organizations, especially as the number of documents grows and processes evolve.

     

    One of the things l like to do is have a "Process Information"  (insert your preferred label here) checkbox that toggles the visibility of a section containing instructions or information.

     

    High Level Steps:

    • Create two groups.
      • Header group (will include a checkbox element)
        • Note: A checkbox can be added to an existing web form, so a new group may not be necessary.
      • HTML group (will include an HTML element)
    • Add an HTML element to the HTML group.
      • Enter information to be displayed in the HTML element.
    • Add a checkbox element to the Header group (or existing group)
      • Add rules to determine when to show/hide the HTML element.
    • Deploy and enjoy.

     

     

    Detailed Steps:

    Create two new groups - Header group and HTML group

     

    From the Form tab Elements window, insert a new group.

     

     

    From the Properties window, enter the

    1. name
    2. label
    3. number of columns you want in the group

     

     

     

     

    Repeat steps for second group.

      

    Add HTML element to the HTML group

     

    The HTML element will contain the information to display on the form.  From the Elements window under Common Elements, double-click the HTML element to insert an HTML element into the group.

     

    Click on the HTML element in the web form.

     

    In the Properties window enter

     The name of the element

     

     

     

    Click the ellipsis next to the label to enter the information/instructions to be displayed

     

     

     

    In the HTML element label, enter things like links to SOPs/WIs, images, tables, formatted text (font, justification, color, etc.) - anything to provide useful information to form users.  Click OK when finished.  Example:

     

     

    From the Solution tab, deploy your solution to check display, formatting, etc.

     

     

     

    Example Results:

     

     

     

    Add a Checkbox element to the Header group to determine when to show/hide the HTML element.

     

    From the Form Tab Elements window under Common Elements, double-click the Checkbox element to insert an HTML element into the group.

     

     

    In the Properties window, enter the Name and Label for the Checkbox element.

     

     

     

     

    Add rules to Checkbox

     

    Click the ellipsis next to Rules to enter rules that determine when to show/hide the HTML group.

     

     

     

     

     

    Click Add Rule…

     

     

     

    1. Enter a Label for the rule
    2. Check the box next to Run Rule on Form Load if you want the rule to run when the form loads
    3. Choose Actions from the Type drop-down
    4. Click on the link using Condition to add a condition

     

    1. Select the check box field (if not already selected)
    2. Select Is Equal Too…
    3. Select True
    4. Click OK when finished

     

     

    Add the result if the condition is met.

     

    1. Click on Add

     

     

     

     

    1. Select Change Group Display from the Action Drop-down
    2. Click Show
    3. Select the group name from the Field within Group or Group Name drop-down
    4. Click OK when finished

     

     

     

     

    Click OK to exit out of Create Rule: 

     

     

     

    Example of completed rule for showing the process information:

     

     

     

    Repeat steps for hide rule with the following modifications:

    • Change the rule name to something like Hide_ProcessInformation
    • Change the condition to false instead of true
    • Change the action to Hide Group instead of Show Group

     

    Tip:  You can copy and paste the first rule and then make modifications as required.

     

    Example of completed rules:

     

     

     

    To change the label of the checkbox, click the label next to the checkbox and type what should be displayed.  Press enter when finished.
