  • 1.  Ignore options for workflow items without responsibility type

    In the new Govern release there is an option to send workflow notifications to followers of an artifact. If the artifact doesn't have any followers, the step is completed without sending the item to anyone (attached). 

     

    For all other recipients, if the responsibility type is not populated the item will be either reassigned to a backup responsibility, or sent to default recipient as defined in the Settings. We would like the ability for the step to be completed without notifying anyone if the responsibility type isn't populated, similar to the functionality described for Followers (this would just be for email notifications, not for steps that require a form to be completed).

    Hi Marissa!

    Just following up on this.  Is it causing a problem when a default group or administrators are getting an email when there is no one assigned the responsibility type?   Does it happen enough where folks are getting too many emails?  

    We wouldn't want to skip a notification to someone responsible for an asset, someone should get the notification.  That's the thought process anyway.   We didn't add the default recipient when there were no Followers because that didn't seem cause for any alarm.

    Yes - the problem is when the default group gets the email because there is no one assigned to the responsibility type. 

    90% of the time, your response above makes sense. But we have "change notification" type workflows where it isn't necessary to include the default group. This is why we'd like the ability to decide if a step can be skipped, or if someone needs to get the notification. Backup responsibilities can cause confusion in this use case because users get notified about the same asset/change multiple times (ex: I got notified as the Owner, and again as the backup role for Steward). 

    Your message has me thinking though - is there a way to bulk assign users as followers (instead of self-following)? If we could mass assign followers, we could change our notification workflows to only notify followers. We don't want to ask users to individually select hundreds of items to follow, which is why we use the workaround I explained above.

    Hi, thanks for the follow up.  That makes sense.  It's strictly a notification, not a notification with an assignment attached so maybe not as important.  

    Currently there is not a way to bulk assign followers.   

    Suhas mentioned we have an enhancement ticket open,  I will bring it to the dev team to discuss what we might be able to do short term - whether it be a way to add followers or an option on the email activity within workflow.
