Vendor open items to a given list of accounts

  • 1.  Vendor open items to a given list of accounts

Hi, I'm struggling with something that would seem to be easy, but apparently it's not. Or I'm missing something obvious.
I'm using Studio, so I can chose between Transaction, Query and Direct, but I can't manage with either of them.
    The task:
    - there's a list of vendors in an excel file (let's say there's one company code to make it easier)
    - I need to fetch open items as of today (I can add =today() formula column if needed) for each of these vendors in the same excel file, anywhere. Just to get the list in the same file. Let's say I need vendor - document number - amount
Easy? Maybe, but not for me.
    Transaction:
well, this won't let me copy anything, so I think I can't use it.
    Query
Table BSIK could be handful. But in terms of input, I can only see an option to chose between fixed value, user input (not an option- must be read from excel) or a single cell. I don't know any way to pick a list of vendor accounts in Query as selection criteria.
    Direct:
I can use a BAPI_AP_ACC_GETOPENITEMS, which allows me to pick a list of vendor accounts. But it requires a loop (otherwise it fetches only first doc), which then requires to post H/D values in a column, which I can't do - I don't know how many line items there are for each vendor, so I don't know how many D's are required. Sometimes it's 1, sometimes it's 10 000.

    Any help would be appreciated.
    regards,
    Radek P.

    Hi Radoslaw -

In Query, to use a list of vendors, use the IN operator and point to a file or a separate sheet in that data file where you're extracting. That's probably your easiest option.

    Thank you Jennifer,
this indeed helps. I've never tackled the dynamic list functionality. Works like a charm! :)

    Hello Radoslaw,
We have a similar issue where i need to extract all open items. What solution did you come up with?
    thanks

    Hello Jennifer,

I checked out the tread and downloaded the query. It partially works. We need to get back to the PO and the PREQ and then the requester on the Preq. Not sure how to get that information.

    Thanks,

    Frank

    Hi Jennifer,

Forgot to mention that we also need to run it at a point in time.

    Thanks,

    Frank

    Hi Frank -

Purchasing Document Number is available as a field (EBELN) in the BSIK table. You can also include one of the date fields as a criteria field.

    Thanks!

    Thanks.

How about the requisition number and the associated requisitioner. That would need to come from a separate table I believe.

    Hello Jennifer,

Thanks for the update. The file attached in the email does not contain the EKKO or EBAN tables. Could you resend?

    Thanks,

    Frank

    Hi Frank -

I just opened the attachment and it does have the EKKO and EBAN tables. You probably opened the original one?

    Thanks!

    Hello Jennifer,

For the query, what we are looking for is a list of purchase orders where the delivery of the items on the PO are not yet complete. The query is starting with BKPF which is an accounting document table. If an item has yet to be delivered it would not be in the BKPF table. Thoughts?

    Thanks,

    Frank

    Hi Frank -

I recommend opening up your own thread on this topic as it is unrelated to this particular thread.

    Thank you!
