In some EnterWorks environments, there is a desire to remove records from a repository once they are no longer needed but retain them for historical or archival purposes.  EnterWorks does not provide a native capability for archiving records.  One option is to set a flag in a record to indicate that it is no longer active.  However, this requires all accesses to the repository to filter out the inactive records in searches and exports unless these records are needed.  Another option is to define Scheduled Export/Import combinations or custom workflows that copy the records to be archived from one repository to an "archive" repository, then delete the records from the original repository.  However, these options do not retain the history for each of the archived records.

The stored procedure EW_Archive_Repository_Record has been created to completely transfer the designated repository records from the designated repository to the designated archive repository, retaining the full history for each archived record.  This stored procedure can be invoked from a Scheduled Export/Import combination or EPX workflow to provide a generic archive capability.

This session describes how to configure and use the EW_Archive_Repository_Record stored procedure and configure scheduled jobs or EPX workflow to invoke it.
