  • 1.  Optimization of Workflow Action Allocation

    Hey all

    One of the biggest issue we are facing right now with Workflows is the very complex approach for allocating Workflow Actions. Although the current approach is somewhat okay for people who use Govern extensively, it is very unintuitive for people new to Govern or people not working often with/in Govern.

    Thus, an additional functionality besides the current one would be handy. Concretely, a central location within Govern to start these Workflow Actions. Here's my specific Use Case:

    Current Situation

    We have several established Workflows, for example Creating and Updating Business Term Requests. For the Creating Requests, these have to be started on Model -> Data Domain and then on the specific domain the requester wants to add a new term to (otherwhise Govern fails to fetch the domain and consequently cannot derive pre-assigned owners & stewards, resulting in the attached Workflow to be stuck due to not being able to send tasks/mails to the specified people). To start a Change Request, however, the user has to navigate to the Business Glossary and start the request on a specific term (again, Govern fails to fetch the allocated domain and its derived responsibilities if the request is started somewhere else). As you may notice, the starting points for these requests are in two totally different artifacts in Govern, and thus, not very user friendly.

    Desired Situation

    Ideally, there is a single page where requests can be made. Also, that page could be linked to the shortcuts on the homepage, so that users may navigate there quickly. On that page, a user may then select a specific request (e.g. Create Term, or Update Term). Depending on the selected request, a user must then choose an asset on which the request is being made on. E.g., Selecting "Create Term" would open a dialog with all available data domains, where the user then choses one (or several). After, the user continues with filling out the form as specified in a Workflow Actions. By submitting the form, an allocated Workflow would then be triggered to handle the eventflow, just as it works as of today. Selecting "Update Term" would open a dialog with all business terms from the Business Glossary, where the user again choses the term they want to change and are subsequently presented with an input form as specified in the Workflow Actions. Submitting the form would again start an associated Workflow, just as it works as of today.
