    Hi All,

    We are planning to hold a webinar shortly after go live to talk through any high priority issues users are facing and to consider what we should address in a short term release.

    I've started this thread to allow people to record the issues they feel are causing them the most pain so that we can use this as an agenda for the webinar.  As a starter for ten, here are some of the things we have already observed:

     - Errors caused by a lack of "reason" for something still cause a lot of problems. Should we apply a default to stop these errors from blocking things up in certain scenarios?
    - If a PAA is raised, converted to a permit and then cancelled in Street Manager you cannot submit another PAA, all subsequent applications are Permit applications.  This can cause things to become out of sync with Confirm
    - Some people are struggling with publishing documents to send to Street Manager. Is there something we can do about this?

    Please feel free to give your views on the above issues and / or log your own on this thread.

    Hi John,

    At Derbyshire County Council we use automatic noticing extensively so we would need modified application/cancellations etc. to continue to go to street manager without having to go through the wizard manually to add "reasons", if a default value is the best way around this problem then that would work for us.

    Another couple of items for discussion:

     - Currently Confirm is still generating FPN warnings on import, e.g. if an "Error correction" is received without agreement.  Street Manager doesn't have the concept of this type of agreement so it's not really FPNable so this can be a bit confusing.
     - although Street Manager requires a reason to be supplied when revoking a permit this is not visible anywhere in Street Manager.  Should we send the reason as a works comment to Street Manager until this is resolved?

    Hi John,
    If we can send the reason for a permit being revoked as a comment it would be preferred to no info at all. We often revoke planned works permits due to conflicts with emergency works, so it is useful if we can provide them with an end date of the conflicting works as well as the reasoning behind this decision.

    Another complication resulting from validation errors... Currently if we can't send a notice we untick the send flag so it can be corrected and re-sent.  However, if another party sends a further notice in street manager then when this is imported into Confirm overwrites the current "draft" notice.  We could potentially fix this so that the incoming notice is imported and the new one is retained but moved to be the most recent notice or flagged as ignored, but this would be quite a lot of work and could have unforeseen complications.

    Another item for the agenda...

    Under EToN (and I think potentially still under current legislation) a PAA only applies to the Asset Activity phase of a works.  However, Street Manager always starts with a PAA if the works are Major.  This can cause a problem if a promoter logs a PAA for remedial works in Street Manager as when Confirm imports this we assume it is a PA as that is what we expect the first notice to be for Remedial works.  This can then cause ongoing confusion until the PA is submitted in Street Manager (which would appear in Confirm as a Modified Application).

    We could potentially force Confirm to save the incoming notice as a PAA (even though it isn't valid) to address this.  Note that we already address this scenario the other way around, i.e. if a Major PA is logged in Confirm we automatically generate a PAA and PA in Street Manager so that both systems are in sync.

    Hi

    On Street Manager they have 3 options when asked about a footway closure but in Confirm this converts this to a tick box- Yes / No.

    It's ok but not very user friendly

    maybe we could have:
    1.It would be nice to see which of the options they picked that end. So for Confirm to reflect the wording above somehow.
    2.If this can't be changed, then the box gets ticked yes for a walkway being provided but that should technically be a no.

    We're seeing a few issues where promoters are sending a cancellation under EToN before resurrecting works under Street Manager.  However, it looks like sometimes the cancellation gets through after the Street Manager notices which means that the cancellation is the most recent thing Confirm sees, thus putting things out of sync.  We could potentially release a patch to the EToN web service to automatically ignore anything received against a works that is already in Street Manager, but we'd probably only be able to do that for the most recent versions of Confirm, so might not be an option for on-premise customers.

    Another item for the Agenda...  A few utilities have complained that they aren't receiving S81s via Street Manager.  When this was last discussed we agreed to delay sending these via Street Manager until the transition end date, in case there were utilities still on EToN who wouldn't see the notices come in.

    Should we change this approach and start sending these via SM now?  If so should we also do the same for historic FPNs and Inspections?

    Alternatively people could bring their transition end dates forward but this would mean that all your other in-flight works would transition to Street Manager on the next notice.

    Southwark would like to see this happen soon rather than later.  BT has already refused to accept emails or the ETON and will only accept 81's on street manager.

    Regarding Granting Immediate Works after the Works Stop it looks like this is intentional (although no explanation why Immeditate works are treated differently from non-immediate works:

    I'd suggest that what we could do is if we can't send a Grant, because Street Manager doesn't think there is anything to be Granted, that we don't untick the send flag on the Grant so that you still have a record of it in Confirm.  We could potentially send it as a works comment to Street Manager too if that would help.  Any objections to this approach?

    Hi John, I will ask our Traffic Team but that sounds good to me.

    Not sure if this has been covered: we are noticing our FPNs failing if we don't have email recorded in the OD FPN contact fields. Not sure which fields in the Organisation form I have jurisdiction to update but I will fill these in if it allows them to transfer.

    Hi Lesley,

    You shouldn't need to populate the email if you are sending via EToN.  However, you will need to populate the FPN Deliver Web Service URL as the client screens are not aware that this is no longer needed.  You can copy this from the main Web Service URL as a workaround.

    Confirm team will conduct a discussion webinar on Tuesday 4th August 10 AM, to talk through the items that are in consideration for subsequent releases and any high priority issues users are facing.

    The full agenda of the discussion is as follows:

    • What to do with EToN Web Services?
    • Setting Confirm response periods from data in Street Manager to avoid ambiguity
    • Making sure Confirm reflects the same PAA rules as Street Manager
    • Support import of additional HS2 fields and export Acknowledgments
    • Automatically append FPN payment methods and details for representations in the offence details
    • Ensure Works Comments are correctly classified as being from the Promoter or Authority (subject to APIs in Street Manager to allow us to determine this).  Currently all comments appear in Confirm as if they are from the Authority.
    • Dealing with correcting the Excavation required flag
    • Send Noticing FPNs as Emails
    • Launching Street Manager from Confirm.

    As part of the next release we will be adding the ability to automatically supply additional FPN fields when exporting to Street Manager, rather than you having to paste these into the Offence description.

    We are going to be supply two new fields for the Representations Contact name and address.  For the Officer address we will supply the Address on the first tab of the authority's Organisation form.  Any of these fields that are not specified will default to "Not provided".

    For payment methods I'm thinking we will look at the Fixed Penalty Notice Payment tab on the authority Organisation.  If the Web Site URL or Credit Card Contact Number contain anything then we will add "Card payment" as an option; if any of the BACS fields are set will will add "Bank transfer" as an option and if any of the Cheque fields are populated we will add "Cheque" as an option.  Note the contents of these fields will never be sent to Street Manager, we will just be ticking the relevant boxes in Street Manager based on something being present (even it is just an "x").

    In the event that none of this data is set we still need to provide something, so what should the default be?  Also, is it necessary to provide a "Cash" option.  Options could be:

    1. Always include "Cash" as an option (so this can be the default too)
    2. Never include "Cash" as an option.  Use "Bank Transfer" as a default
    3. Something else (requests please)

    The changes are proposing would be really helpful for us and we will set the data to work with your suggestions. As for Cash it would have to be option 2. Never include "Cash" as an option.  Use "Bank Transfer" as a default.  Southampton City Council no longer have a cash office that can accept cash payments.
